Full Property Inventory

 

We will visit the property to be let and carry out a full schedule of condition. Arranging a time and day that is suitable for all parties involved and collection of the keys is all part of this service.

 

We will produce a clear and comprehensive Inventory report. The Inventory includes the full condition of the property. For example the paint work, interior walls, floor coverings, sanitary ware, garden etc. This report states the condition at the present time, usually just before your tenant occupies the property.  

 

Check-In

 

Southern Inventories will check your Tenant into the property at the start of a Tenancy. The Inventory Clerk will go through the Inventory report with the Tenant. Any areas for amendments or areas of concern which that the Tenant may have will be noted. 

 

A list of keys will be checked and agreed upon with the Tenant, meter readings confirmed and two copies of the Inventory will be signed and checked by the Tenant. If the Inventory was performed by us then this will be signed electroniclly on our Inventory system. One copy will then be sent or emailed back to the Agent or Landlord, and the other retained by the Tenant. Southern Inventories will also retain a master copy. Our Inventory Clerks will also inform the Tenant of their obligations regard the Check-Out procedure.

 

Simultaneous Inventory & Check-In

 

Southern Inventories offer a complete Inventory and Check-In service to both private Landlords and Letting Agents. This service includes both services above and attracts an overall 10% discount.

 

Property Inspection

 

Property Inspections are a summary of the condition and cleanliness of a property during the term of a Tenant's lease. This usually occurs every three months through a Tenancy period. It is attended by a Southern Inventories clerk at an appointed time and will provide a clear overview for the Landlord or Agent as to any problems or repairs that need to be addressed.

 

Check-Out

 

Southern Inventories will provide a Check-Out report at the end of a Tenancy. We will visit the property to compare the original Inventory and Check-In report with the present condition, and report our findings to the Landlord or Agent. 

 

It is important for the Tenant to attend the Check-Out to agree any discrepancies or variations to the original Inventory such as cleaning deficiencies, damage/breakage, missing or additional items, excessive wear, and condition of gardens. Should the Tenant not attend the Check-Out, then the Inventory Clerk's assessment is final.

 

The Landlord or Agent should provide us with any information regarding work that was carried out during the Tenancy by either party.  If items were added or removed by the Landlord or if any property maintenance problems such as leaks have occurred this should also be noted. 

 

All this will be taken into account when compiling the Check-Out report. The Check-Out report will include advice on who is responsible for any damage or discrepancies and any action required.

 

Meter readings will also be noted as well as the Tenant's forwarding address if the Tenant is present at the Check-Out. Our Inventory Clerks will always take into account 'fair wear and tear' when conducting the Check-Out report.
